Discerning travelers seeking an extraordinary experience

How far ahead should I book a luxury trip? For most journeys that matter, start six to twelve months before you travel. For the most contested weeks — Christmas and New Year in the mountains or the Caribbean, peak safari season, high summer on the Mediterranean and cherry-blossom season in Japan — start nine to twelve months ahead. For quieter seasons and simpler trips, two to four months is often enough.

Why so early? Because the best places are small. The rooms, camps, cabins and villas worth travelling for are few, and many are rebooked by returning guests a year in advance. Guides, drivers, instructors and tables are limited too.

How far ahead for a holiday ski week? About nine to twelve months for Christmas, New Year and February school holidays; less for January and March.

How far ahead for the Caribbean at New Year? About nine to twelve months for the festive fortnight; three to six months for the rest of the winter.

How far ahead for a summer in Italy or Greece? About six to nine months for July and August; three to six months for May, June, September and October.

How far ahead for a safari, the Galápagos or Japan? About nine to twelve months or more for peak migration and the smallest camps; six to twelve months for Galápagos expedition yachts; six to nine months for Japan’s blossom and autumn seasons.

Is it ever too late? Often not. An advisor can find what is still right for your dates and will say plainly when a first choice is gone.

Do I need a membership? No. Non-members are welcome. An advisor responds within 24 hours when you plan your journey.

Chapter 01

Chapter 01 — The Short Answer

How far ahead should I book a luxury trip? For most journeys that matter, start six to twelve months before you travel. For the most contested weeks of the year — Christmas and New Year in the mountains or the Caribbean, peak migration on safari, high summer on the Mediterranean, cherry-blossom season in Japan — start nine to twelve months ahead, and earlier still if you need several connecting rooms or a specific villa. For quieter seasons and simpler trips, two to four months is often enough. These are HauteBlack advisor guidelines, not hard rules: what matters is how few of the right rooms exist for your dates, and how many other people want them. An advisor can tell you in one conversation where your dates sit.

Chapter 02

Chapter 02 — Why the Best Rooms Go First

Why do luxury trips need so much notice? Because the places worth travelling for are small. A cliff-top retreat, a safari camp, an expedition ship or a ski-in suite may have only a handful of the rooms you actually want, and the same families return to them year after year, often rebooking before they leave. Then come the pieces around the room: the private guide, the vehicle, the chef, the dinner table on the one night that matters. Each is limited, and each is easier to hold when it is planned as one journey rather than collected one booking at a time. Starting early does not mean deciding everything early. It means holding the scarce pieces first and shaping the rest as the trip comes into focus.

Chapter 03

Chapter 03 — Ski Weeks and the Festive Season

How far ahead should I book a Christmas ski trip? Start in the spring or early summer before the season — roughly nine to twelve months ahead — for Christmas, New Year and the February school holidays. Those weeks fill first in places like Aspen, Vail, Jackson Hole, Courchevel and St. Moritz, and holiday weeks often carry minimum stays. January outside the holidays and March are easier, and a few weeks to a few months can still work. Families should also hold ski school, private instructors and equipment early, because the best instructors are booked for the holidays long before the snow falls. Our family ski guide to the Alps covers the age questions.

Chapter 04

Chapter 04 — The Caribbean in Winter

How far ahead should I book the Caribbean for New Year? For the festive fortnight, nine to twelve months is the safe window, and many of the best villas and beachfront suites are held by returning guests long before that. Holiday weeks usually carry minimum stays and stricter cancellation terms. The rest of the winter, January through April, is more forgiving: three to six months is usually comfortable for St. Barts, Turks & Caicos or a yacht week in the British Virgin Islands, where the right crewed yacht for your party is the piece to hold first. Private flights into smaller island airports can often be arranged on shorter notice through Haute Jets, but the room should come first.

Chapter 05

Chapter 05 — Mediterranean Summers

When should I book a summer trip to Italy or Greece? For July and August, start in the autumn or winter before, about six to nine months ahead, and earlier for the most famous coasts. On Lake Como, the Amalfi Coast and Capri and Mykonos and Santorini, the best terraces, the private boats and the dinner reservations everyone wants are committed early, and families need connecting rooms that are rarer than people expect. May, June, September and October are kinder: three to six months often works, and the light and the crowds are better too. Our guide to the best time to visit Lake Como and Amalfi with family compares the months.

Chapter 06

Chapter 06 — Safari, Galápagos and Japan

How far ahead should I book a safari? For peak migration season in the Maasai Mara, roughly July to October, start nine to twelve months ahead, and as much as a year or more for the smallest camps or for a family that needs several tents together. The same is true of the Okavango Delta in its dry-season peak. See Kenya Migration Season and Botswana and the Okavango. In the Galápagos, the small expedition yachts and their best cabins are limited by park rules, so six to twelve months is wise, especially over holidays; see Galápagos Private Expedition. For Japan, cherry-blossom season in late March and early April and the autumn leaves in November fill first in Kyoto and Tokyo; start six to nine months ahead for Kyoto and Tokyo, and earlier for a ryokan stay on a blossom weekend.

Chapter 07

Chapter 07 — What If I’m Booking Late?

Is it too late to plan a luxury trip for next month? Often not. Late planning changes the question from “where is perfect?” to “where is still perfect for these dates?” — and that is exactly the question an advisor is built to answer. Cancellations open up as deposit deadlines pass, properties release rooms held for others, and a shoulder-season destination can be the better trip anyway. HauteBlack is the private travel service of Haute Living, and two decades of relationships with hotel leadership mean an advisor can ask directly rather than wait on a booking page. What we will not do is promise a room that is not there. If your first choice is gone, your advisor will say so plainly and show you the closest alternatives that are confirmed for your dates.

Chapter 08

Chapter 08 — Quick Answers

Should I wait for last-minute deals on luxury hotels? Rarely. The rooms most worth having seldom need discounting, and waiting usually means fewer choices rather than a better price. Do I need to know every detail before I inquire? No. Dates, rough destination and who is travelling are enough to start; your advisor holds the scarce pieces while the rest takes shape. Does booking early lock me in? That depends on each property’s deposit and cancellation terms, which your advisor explains before you commit. Is it worth booking through an advisor? Read Why Book HauteBlack Instead of Booking the Hotel Myself?. Do I need a membership? No. Non-members are welcome, and an advisor responds within 24 hours.
